Phone system
Before you start
- Add the phone on the Phones tab as a Desk / softphone (SIP) phone. See Phones and extensions.
- Plug the phone into your network and power it up.
- Find its MAC address: twelve letters and digits on the label under the phone, such as 80:5E:C0:AA:BB:CC. Most phones also show it under Menu → Status.
Tell BE Voice which phone it is
- Open Phones and click Desk phone next to the extension.
- Type the MAC address, with or without the colons.
- Click Save. The console shows the Provisioning URL.
The provisioning URL is the same for every phone in your business. You can see it again any time by clicking Desk phone.
Type the address into the phone
- On the phone, press Menu → Status and note its IP address, such as 192.168.1.50.
- On a computer on the same network, open that address in a web browser and sign in to the phone (a new phone uses admin / admin).
- Go to Settings → Auto Provision.
- Paste the provisioning URL into Server URL and click Confirm.
- Click Auto Provision Now. The phone restarts, and after a minute or two it shows its extension and is ready.
The Phones tab shows the phone as Online once it has signed in.
Busy lamp keys: see who's on a call
On phones with spare line keys (most Yealink models above the entry level), a key can watch a colleague's extension: the light is off when they're free, blinks while their phone rings and stays on while they're on a call. Press the key to call them.
- Open Phones and click Desk phone next to the extension.
- In Busy lamp keys, type the extensions to watch in the order you want them on the keys, for example 102, 103, 104. Key 1 stays the phone's own line; the first extension goes on key 2.
- Click Save, then Fetch settings now (or wait for the phone's overnight check).
Forward and do not disturb on the phone
The phone's own Forward and DND work with BE Voice. Turn them on with the phone's keys or its Menu › Features.
- Forward
- Calls to the phone go to the number you set instead: another extension, such as 104, or a mobile or other outside number. Always, Busy and No answer forwards all work. BE Voice rings the new number for the same time it would have rung your phone; if nobody answers there, your call routing carries on with its next step, as it would for your phone.
- Do not disturb
- The phone doesn't ring. A ring group rings everyone else, a queue offers the call to the next person, and a call straight to your extension goes to the next step of your call routing.
Push changes to the phone
A phone that set itself up from BE Voice can be told to act straight away, without anyone at the phone. Click Desk phone next to the extension; the phone has to be Online.
- Fetch settings now
- The phone reads its settings from BE Voice again and applies them: a new name, busy lamp keys, a new password. No restart, and a call in progress isn't affected.
- Reboot
- Restarts the phone. Use it when a phone misbehaves or after a firmware update. A phone on a call restarts after the call ends.
After setup
- Changes
- The phone checks for changes every night and when it restarts. To apply a change straight away, click Desk phone → Fetch settings now.
- The phone's own web page
- Setting up changes its admin / admin password, so only your business can change the phone. Click Sign-in details to see the new one.
- Outside calls
- A phone calls outside only once it has a number to show. Click Edit next to it and choose one under Calls out showing.
- New password
- Clicking New password next to a desk phone is safe: the phone picks up the new password by itself when it restarts, overnight, or when you click Fetch settings now.
- Dialling
- Dial numbers as they are, such as 03 7000 0000. There's no need for a 0 for an outside line. Colleagues' extensions work as usual.
- Moving or replacing a phone
- Click Desk phone and type the new phone's MAC address. The old phone stops working. To stop setting up a phone, clear the MAC address and save.
Cordless handsets on a DECT base
A Yealink W70B or W60B base carries several cordless handsets, up to 10 on a base, each with its own extension.
- On each extension, click Desk phone, type the base's MAC address, and choose a Handset on a DECT base number. Every extension on the base has its own number.
- Plug in the base. It sets itself up the same way a desk phone does.
- Pair the handsets with the base in the same order: hold the Paging key on the base for 5 seconds, then on the handset go to Settings → Registration → Register Handset. The first handset paired is handset 1.
To take a handset off the base, clear the MAC address on its extension and save. The others keep working. Handsets don't have busy lamp keys.
