What it checks before it shows you anything
| Customer | Exists, is a customer (not a lead or supplier), not frozen. |
|---|---|
| Items | Each exists, is a sales item, not frozen. Quantity above zero and at most 100,000. At most 50 lines. Unknown items are named as problems; no draft is made. |
| Price | From the customer's price list. A price you give is an override, shown beside the list price with the difference in percent. No list price and no override is a problem. |
| Stock | Per line, for the line's warehouse (given, else the item's default): on hand, committed, on order, available. A line short of stock is flagged "short by N". It warns, it does not block. |
SAP may still apply special prices or discounts when it posts. The preview says "list price"; the confirmation tells you what SAP actually posted.
Confirm
- The draft lives for 15 minutes. Confirm posts it and answers with the document number and SAP's totals: "Quote 23000124 created for AMAUTO: 2 lines, total 125.40."
- A second Confirm on the same draft returns the same document. It never creates a second one.
- If SAP refuses, the draft is marked failed with SAP's message, shown to you. Nothing is retried on its own.
- Cancel discards the draft.
From quote to order
"Turn quote 23000123 into an order." The quote must exist, be open and belong to a customer who passes the same checks. All its open lines are copied with the quantities and prices as quoted, each re-checked for stock now. The order is posted against the quote, so SAP links the two and closes the quote lines.
Copies and adjustments
A quote can be prepared as a copy of one or more earlier quotes, for another customer, or with all prices moved by a percentage ("the same as quote 23000100 for BLUESKY, up 10%"). The same preview and Confirm apply.
Closing, cancelling, emailing
- Close quotes or orders you are finished with, or cancel them (which cannot be undone), with a reason in your own words that goes into SAP's remarks.
- Email a quote or order to the customer. The addresses are shown first; sending is a Confirm.
Who may
Each of these is a right an admin grants per role: create quotes, create orders, close and cancel, send email. A role without the right does not see the tool. Rights are checked when the tool runs and again at Confirm.
Note. Only staff create documents. Customers and callers can ask about documents, never raise them.
