An AI assistant for SAP Business One: what it is and what to ask for

SAP Business One has no built-in assistant you can talk to; SAP's Joule is aimed at its cloud ERP. An assistant for B1 is a separate layer that reads your company database and answers in plain words. Here is what that means, what it can safely do, and the questions to put to anyone selling one.

What it is

An AI assistant for SAP Business One sits beside B1, not inside it. Staff ask a question in chat ("what's on back order for Harbour Auto?") and the assistant turns it into a read of the live company database, then answers in a sentence with the numbers. Customers can ask about their own account by phone or chat after proving who they are. The ERP stays the system of record; the assistant is a way to ask it.

Why B1 does not already do this

SAP's assistant, Joule, is built for S/4HANA and the public cloud editions. SAP Business One customers on-premise or in a partner's cloud are not in that plan. The first B1-native assistant announced by a partner is scheduled for late 2026 and is European. In Australia the options are a partner's custom build or a product like BE One AI, which has been running against live B1 companies since 2026.

What it can safely do

  • Read freely. Customers, items, stock by warehouse, prices by price list, open orders, deliveries, invoices and payments. In BE One AI these run as published lookups: a fixed list of read-only queries, so the model never writes its own SQL against your database.
  • Verify before money. A balance, a customer's own price or an unpaid invoice is released only after the customer is verified against SAP by code, not by the model.
  • Propose, not post. A quotation, a sales order from a quote, a stock transfer or a credit request is drafted with every line shown, and nothing reaches SAP until a person presses Confirm. The reason is written into the document's remarks.
  • Remember what you teach it. Staff teach facts about the business once; every later chat and call uses them, and admins can see and remove them.

What it should never do

Post to SAP on its own judgement, make up a price or a delivery date, see a customer's data before verification, or hold the database password anywhere but on your own machine. If a vendor cannot show you where the approval step is in the product, it is not there.

Questions to ask any vendor

  1. Can the model run arbitrary SQL against my company database, or only a published list of queries?
  2. What has to happen before a customer hears a balance?
  3. Show me a quote being raised. Where does a person approve it?
  4. Where does the B1 database password live?
  5. Can it read my other systems (the carrier, the web shop, Xero) in the same answer, and how?
  6. What does a run cost, and what happens when I run out?

BE One AI's answers are on the product page and in the docs: what you can ask, how verification works, quotes and orders, and the other systems it connects over MCP and APIs.

Who it is for

Distributors and wholesalers on B1 whose phones ring with "is it in stock", "where's my order" and "what do I owe"; and the staff who answer those by alt-tabbing into SAP. The customers by phone and chat page shows a call end to end.
